Position Overview

Lori Lane Personnel Services, Inc. is seeking a highly organized and detail-oriented Administrative Assistant with Bookkeeping Skills to support our busy Real Estate Department in Port Charlotte, Florida. This position is ideal for a professional who enjoys balancing administrative responsibilities with financial recordkeeping while providing exceptional support to staff, clients, and real estate operations.

Key Responsibilities

Administrative Duties

  • Answer and direct incoming phone calls and emails professionally.
  • Maintain office files, records, and client documentation.
  • Prepare correspondence, reports, contracts, and real estate-related documents.
  • Schedule appointments, meetings, and property-related activities.
  • Assist with transaction coordination and document management.
  • Provide excellent customer service to clients, agents, and vendors.

Bookkeeping Duties

  • Process accounts payable and accounts receivable.
  • Reconcile bank statements and maintain accurate financial records.
  • Prepare invoices and track payments.
  • Assist with payroll processing and expense reporting.
  • Maintain accounting records using QuickBooks or similar accounting software.
  • Generate financial reports as requested by management.

Qualifications

  • Minimum 2 years of administrative office experience.
  • Bookkeeping experience required.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with QuickBooks or similar accounting software preferred.
  • Strong organizational, communication, and multitasking skills.
  • High level of accuracy and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Real estate office experience is a plus but not required.
