Our company is currently seeking a Bookkeeping / Administrative Assistant in Port Charlotte, Florida. This is a fabulous full-time opportunity!

We are seeking a detail-oriented Bookkeeping / Administrative Assistant to support the daily operations and financial administration of a local Association. This role combines financial recordkeeping, resident support, and office coordination to help keep the community running smoothly.

Key Responsibilities

Bookkeeping & Financial Support

  • Record daily financial transactions (invoices, payments, receipts)
  • Manage accounts payable and receivable
  • Process invoices and reconcile bank and credit card statements
  • Track expenses and assist with budget monitoring
  • Maintain accurate financial records and organized documentation
  • Use accounting software such as QuickBooks and Excel
  • Research account discrepancies and process credits/refunds

Administrative & Office Support

  • Answer phones and assist residents with questions and concerns
  • Maintain records, databases, and association files
  • Track resident issues and support the Property Manager
  • Prepare newsletters, notices, and website updates
  • Manage office supplies and incoming/outgoing mail
  • Process work orders for maintenance, landscaping, and housekeeping
  • Assist with lease reviews and new owner application processing
  • Support collections by reviewing receivables and forwarding files when needed
  • Assist residents with access devices (fobs, remotes, transponders)

Qualifications

Education & Experience

  • High school diploma or equivalent required
  • Minimum 3 years of administrative or office support experience
  • Bookkeeping or accounting support experience preferred
  • Proficient in Microsoft Office (Outlook, Word, Excel

  • Strong customer service and communication skills

  • Ability to prioritize and multitask in a fast-paced environment
  • Comfortable learning new technology and systems
  • Ability to maintain confidentiality and professionalism
